PROJECT MANAGER, CORPORATE EVENTS | FULL-TIME

Harris House Events seeks a full-time Project Manager to join a small, but mighty, team leading and managing corporate conferences, events, and experiences. 

Qualifications and Skills 

  • Five or more years of experience with conferences and events required; two or more years in a project manager capacity 

  • Proficient project management skills with critical thinking, attention to detail, and strong organizational skills 

  • Strong client facing experience with the ability to apply written / oral communication and presentation skills to a variety of management initiatives 

  • Ability to successfully lead projects with complex multidisciplinary teams 

  • Ability to work with a sense of urgency and adaptability while managing multiple projects simultaneously 

  • Ability to think / problem-solve independently, prioritize tasks, take action, and know when to ask for help 

  • A hunger for learning 

  • Proficient in Microsoft Office (especially Power Point and Excel) 

  • Experience with Asana or an equivalent project management tool 

  • Desired, but not required: 

  • Experience with event technology (registration / website / mobile app) 

  • Experience with production / creative (producing general sessions / annual meetings) 

  • Experience with Microsoft Teams, Gmail, and Adobe Acrobat products 

  • CMP and/or PMP certification

Projects and Services 

The Project Manager is responsible for delivering excellence on Clients’ Projects / Services. This position will be responsible for managing and executing various events. Project management is central to this position. 

  • As the Project Lead, manage, prioritize, and oversee Projects / Services from preplanning to wrap-up including, but not limited to, location / venue sourcing, timeline / resource management, team communications, presentation development, branding and graphic design, layouts / décor, scenic / set design, event technology, show management, etc. 

  • Lead the Project’s / Service’s Preplanning phase including: 

  • Finish scoping components / deliverables, setting budget allocations (if applicable), and general project preplanning to ensure the Project / Service is setup for success 

  • Develop and maintain Project / Service documentation including, but not limited to staffing plan, calendar / timeline, budget reports, and Project / Service overview document 

  • Negotiate and review supplier / freelancer contracts to ensure accuracy as needed 

  • Review and redline Client’s supplier contract(s) (e.g. hotels/venues, agencies, etc.) as necessary to ensure accuracy, provide contracting best practices, help drive down costs, and minimize risk 

  • Manage and report on timeline and resources with close attention to balancing budget and vision, driving down costs, and streamline processes including: 

  • Critical path (project plans, timelines, etc.) to ensure Service / Project is delivered on-time 

  • Expense forecasts to ensure Service / Project is delivered on-budget 

  • Staffing plans with roles / responsibilities to ensure effective and efficient use of resources 

  • Manage and work closely with dotted line / direct report(s) (if applicable) to update and maintain all timeline and resource documentation  

  • Facilitate team communications including: 

  • Lead all meetings as deemed necessary by the Project / Service 

  • Manage communications between team members to ensure efficiency and effectiveness 

  • Manage and work closely with dotted line / direct report(s) (if applicable) to update and maintain all communication documentation (meeting agendas / notes, file organization / naming, etc.) 

  • Working closely with the Chief Event Specialist & Founder, provide Clients with strategic guidance, trusted advice, and coaching on best practices and how best to achieve their vision / goals 

  • Manage execution of site visits and onsite / day-of operations to ensure Projects / Services are delivered to the highest level of excellence 

  • Manage Project / Service wrap-up and archiving including budget reconciliation, clean-up / close-out of project site(s), and lessons learned documentation 

Accounts and Client Relations 

The Project Manager is responsible for assuming accountability for Account / Client relationships and deliverables, ensuring Client needs are met, if not exceeded. 

  • Cultivate and maintain effective client relationships, ensuring that all Client needs are heard, understood, and addressed in a timely way 

  • Ensure the Account’s / Client’s vision is maintained from start to finish with adherence to Client standards 

  • Maximize and monitor opportunities for increasing value adds, savings, and cost efficiencies 

  • Support the Chief Event Specialist & Founder as needed on Account / Client prospects including scoping Projects / Services (written scope of work, expense forecasts), drafting supplier RFPs/RFQs, and drafting proposal presentation decks 

Team Collaboration 

  • Foster a positive, and fun, climate that inspires everyone to achieve excellence 

  • Challenge and push team members to develop the best possible solution 

  • Assist with creative problem solving by fielding questions and offering advice to team members 

  • Mentor and coach dotted line / direct report(s) (if applicable) and all team members 

  • Cultivate and maintain effective Partner / Supplier relationships, ensuring that Partners / Suppliers vie for repeat business from Harris House 

General Administration and Special Projects 

  • Strict adherence to the Harris House way for delivering all Projects / Services 

  • Keep Chief Event Specialist & Founder informed of progress on all projects, services, and initiatives 

  • Maintain company project site(s) organization and file naming protocol to ensure efficiency & effectiveness 

  • Track, log, and maintain timesheets for all work performed in a timely and detailed manner 

  • Responsible for working on Special Projects as mutually agreed upon with the Chief Event Specialist & Founder 

Terms 

  • Position Title: Event Specialist 

  • Reporting: To the Chief Event Specialist & Founder 

  • Competitive compensation package (commensurate with experience) including company holidays. Bonus plan, healthcare stipend, retirement stipend, and paid time off after completion of the probationary period.

  • Place of Employment: Company is 100% remote. Employee will be required to undertake domestic travel and may be required to undertake international travel (approximately 5-10% of the year)

  • Ability to work with a sense of urgency and adaptability while coordinating multiple projects simultaneously 

  • Ability to think / problem-solve independently, prioritize tasks, take action, and know when to ask for help 

  • A hunger for learning

  • Track and report on list of action items and update and maintain schedules (calendars, timelines, running orders, etc.) to ensure Service / Project is delivered on-time 

  • Update and maintain budget including logging expenses and budget close-out / reconciliation to ensure Service / Project is delivered on-budget 

  • Update and maintain staffing plan and team contact sheet to ensure effective and efficient use of resources 

  • Support the Project Lead in facilitating team communications including: 

  • Assist the Project Lead with coordinating / scheduling meetings and drafting meeting agendas to ensure effective and efficient use of resources 

  • Participate in all meetings and lead on taking and circulating meeting notes to ensure all parties are informed and to drive team actions 

  • Support Project Lead in managing communications between team members to ensure efficiency & effectiveness

  • Help support and coordinate select Project components as deemed necessary by the Project / Service (e.g. external keynote speaker search, etc.)
